The Project application in Odoo is not just a Kanban board for tasks. Its strength lies in connectivity: from CRM to project, from project to client, and from task to the team's schedule in the field, all within one database.
For service companies, consultants, contractors, and implementation teams, features like Project Roles, collaborator portal, and margin reports touch on daily work. This article discusses these features, their benefits, which are available in Community, and tips for successful implementation.
Project Roles: who does what, from day one
Each role (e.g., Project Manager, Developer, Consultant) has a column Team Members that contains users who can fill that role. When a project is created from a template, people for each role can be selected from that list; in Enterprise, the entries are filled automatically.
The impact is felt by companies that often open projects with similar structures, such as ERP implementation teams. Templates store standard stages and tasks, roles store who is responsible, so new projects are ready to go without being set up from scratch.
From CRM opportunity directly to project
Won opportunities can be directly turned into projects through the action Create Project, by selecting a project template. After that, the smart button in the opportunity displays the connected project and tasks.
The route through sales orders remains available. However, the team can start the kickoff without waiting for the quotation to be completed, for example for the discovery or presales phase that has not been billed.
Technical note: this feature requires active CRM, Sales, and Project, as well as Project Administrator access rights.
Customer collaboration through a neater portal
Odoo separates collaborators from followers. Customers can be given project access in the portal without receiving all notifications, and each collaborator has their own access level.
- Collaborator access level: View, Edit, or Advanced Edit, set from the Share Project menu in the project.
- Tasks for portal users: portal users with Edit or Advanced Edit access can be selected as task assignees. Suitable for tasks that must be performed by clients, such as preparing master data or UAT.
- Task history in the portal: changes in stage and other tracking logs appear in the Communication History of the task on the portal, so clients can see progress without asking through chat.
For implementation projects, this addresses an old dilemma: clients need transparency, but the internal records of the team should not be exposed.
Profitability: Margins and Forecast Margins reports
Profitability analysis is available as a special report in Project › Reporting: Margins for actual margins and Forecast Margins for projected margins. Enterprise adds a project budget summary.
Because it is in report form, margins can be filtered, grouped, and compared across projects. Management can directly see which projects are eroding margins, rather than opening projects one by one. Custom KPIs can also be built with Odoo Spreadsheet.
Printable Gantt and mobile-friendly tasks
In Enterprise, the Gantt view of tasks has an action Print in the gear menu. The result is a PDF schedule of tasks for the currently displayed period (Week or Month scale), practical for weekly meetings or sharing with clients who do not use Odoo.
On mobile, priority stars and task status are placed on their own line above the task name. The task name gets full width so it is easy to read and edit by the team working in the field.
Timesheets: recording work hours without switching applications
Margin analysis is only as accurate as the timesheet behind it. Odoo addresses the classic problem of "forgetting to fill in the timesheet" through two Enterprise features.
- Timer in the top bar: the timer can be run from any application, then the project and task can be selected without opening the Timesheets application. If Attendances is installed, the timer appears as a Timesheets tab in the Attendance menu after check-in.
- Timesheet Assistant: reading computer activity from ActivityWatch (local tracker on the user's device) and converting it into timesheet suggestions. Raw activity data remains on the device; only entries approved by the user are stored in Odoo.
The assistant rules are also more flexible. Rules can apply to everyone, specific departments, or individuals. There is an option Side Activity so that brief interruptions like checking chat do not break the main task, and Threshold in minutes so that activities that are too brief do not appear as suggestions.
Expense: field costs go directly into the project
Travel costs, accommodation, and small purchases by the team often lead to margin leakage because they are not recorded to the project. In Odoo, each employee's expense can be given analytic distribution to the project, so it is included in the Margins report along with timesheets and other costs.
- Re-invoice to the customer: expenses related to sales orders can be billed back to the client, at cost or at selling price, without re-entering on the invoice.
- Expense limit per position: each category of expense can have a maximum limit per job position. Employees receive a warning when exceeding the limit, and approvers can use the button Cap Reimbursement to Policy to cut the portion that exceeds the policy.
- Combined expense report: several expenses can be selected and printed at once in one report with a single total, followed by the attachment of the receipts. Convenient for summarizing costs per business trip or per project.
- Reimbursement through payroll (Enterprise): each expense category can have its own salary rule, so that expense reimbursements on the payslip are calculated according to the type of expense.
Menu location: Expenses › Configuration › Expense Categories for limits per position and salary rule.
Planning and Field Service are connected to tasks
Planning and Field Service in Odoo link team schedules directly to project work. All the following features are specific to Enterprise.
- Shift related to tasks: shifts connected to projects can be filled with specific tasks, allowing planning down to the task level, not just the project.
- Many resources per shift: one shift can contain several employees and materials (vehicles, tools), suitable for team work.
- Scheduling side panel: unscheduled work appears in the side panel and can be dragged to Gantt or Calendar.
- Location and priority-based Auto Plan: automatic scheduling takes into account customer locations and prioritizes high-priority shifts.
- Send schedule via WhatsApp: published schedules can be sent to employees' work numbers using an approved WhatsApp template.
For contractors, ISPs, or service companies, this combination bridges the gap between project planning in the office and execution in the field.
Community or Enterprise?
Community users have received the core features of Project: Project Roles, projects from CRM, collaborator portal, margin reports, expenses per project with limits per position, and mobile view. What is specific to Enterprise is the productivity layer around it: Gantt print, auto-fill roles from templates, timer and assistant timesheet, reimbursement expenses through payroll, as well as Planning and Field Service.
The practical rule is: if the main need is to manage tasks, teams, and transparency to clients, Community is sufficient. If the business relies on the accuracy of billable hours and scheduling field teams, the added value of Enterprise is quite significant.
Closing
Odoo makes Project a hub that connects sales, teams, customers, and field schedules. There is no single spectacular feature, but the combination reduces double input and makes project margins more reliable.
